Bot privacy notice.

How CLM Community Manager Bot uses information, and how to reach the server owner.

Who operates the bot

CLM Community Manager Bot is an automated management account operated by the owner of Country Life Meadows (CLM) Community. The community is unofficial and is not operated by or affiliated with the game's developers.

Purpose and control

The server owner is responsible for the community and approves the bot's actions. The bot assists with server setup, maintenance, and publishing approved content. It does not hold conversations with members, accept member commands, or continuously listen to server activity.

Information used

For the initial setup, the bot uses its own Discord identity, server and owner identifiers, server/channel/role names and settings, its own role assignment, and text supplied by the owner for publication. It also reads back its own published setup messages to check that their content is correct. These details are used to identify the correct server, check permissions, and carry out and verify approved setup tasks.

The bot has Administrator permission, which technically gives it broad server access, including access to private channels. This permission alone does not collect information. The initial setup functions do not read members' conversations, fetch member lists, record voice, or track online status or game activity. There is no separate member database or routine archive of member messages.

If you email the community, the owner receives your email address, message, and any attachments you send. This information is used to respond to your enquiry and address your request. The Discord bot does not automatically read this mailbox.

Storage and other services

The bot's connection credential and core identifiers are stored in an encrypted file on the owner's Windows computer. Configuration files and connection-check summaries may also be stored locally.

The owner uses external administration services to prepare and review server changes. These services process configuration details, connection-check results, and owner-provided publication drafts, and may retain them in the owner's account history. The bot token is not included in those records.

Discord hosts the server and its posts. The community's email provider delivers and stores email correspondence. Discord and the external administration and email service providers also process information under their own service terms and privacy policies. This notice does not promise that provider records disappear when a local file, email, or Discord message is deleted.

This webpage is hosted by Cloudflare Pages. When you visit it, Cloudflare processes connection and request information, which may include your IP address and information about traffic to and from the webpage, to deliver and protect its services. Cloudflare's handling of this information is described in its privacy policy.

The community operator does not sell bot data or use it for advertising.

Retention and deletion

Connection information is retained while needed to operate the bot. The owner will remove information held for the bot when it is no longer needed, when the bot is retired, or following an applicable correction or deletion request, subject to any legal retention requirement.

Configuration and check summaries can also remain in local files or the owner's administration-service account history. Email correspondence is retained while needed to address the request and any related follow-up, then deleted when no longer needed, subject to applicable retention requirements. Requests concerning copies controlled by the owner will be reviewed and acted on as appropriate; Discord and other service providers may separately retain their own service records. This setup does not include an automatic deletion schedule.

Questions and requests

For community enquiries, questions about the bot, or requests for access, correction, or deletion of information held for it, email . State the request and provide only enough information to identify the relevant record. Never send passwords, login codes, or bot tokens.

Requests about Discord's own records can also be submitted directly to Discord.

Features that read member messages, retrieve additional member information, or perform ongoing monitoring are outside this initial setup. Their data use and retention will be reviewed and described in this notice before activation.
